At BVDFree Ltd we take the privacy and security of your personal information very seriously. We will never sell your data to third parties. How we use your information and take care of it is explained here.

Who we are and how to contact us:

What personal information we collect and why:

When you choose to register with BVDFree the personal information we collect will be your CPH, trading title, complete mailing address, telephone number and email address to enable BVDFree to fulfil the functions of a national disease eradication scheme. Our lawful basis for processing your information is your consent which you provide through the act of registering and providing your personal information.

How we will use your information:

We will use your personal information for purposes relating to disease prevention and control, to alert your veterinary practice that you have registered with BVDFree, to alert the BVDFree designated laboratories that your holding is registered with the scheme to enable your BVD test results to be uploaded to bvdfree.org.uk, to contact you with the latest knowledge transfer information and to inform you of new services and events provided by BVDFree. We will do profiling to help us to understand how we can make our information and services more relevant and timely, and to internally administer the bvdfree.org.uk website. We will also produce aggregated and anonymised reports to enable the industry to track progress with the eradication scheme and allow informed decisions on the risk of BVD across England. We will hold and display your individual animal and herd BVD status in the national database or on portals approved by BVDFree Ltd (Eg. ScotEID).

How we will keep your information safe:

We ensure that there are appropriate technical controls in place to protect your personal information. Where we use third party suppliers or partners to collect or process personal data we put a contract or data sharing agreement in place that sets out our expectations and requirements, especially regarding how they manage the personal data and fully comply with all applicable UK Data Protection legislation.

What third parties will be involved:

BVDFree Ltd uses The Agriculture and Horticulture Development Board (AHDB) and XLVets UK to help process requests and provide you with information. For example, XLVets UK will send you a login to the BVDFree database to allow you to view your BVD test results. BVDFree Ltd requires that all third parties processing your personal data are subject to a duty of confidence. We will never sell your personal information to third parties and we will not release your personal information to any company outside of BVDFree Ltd for their mailing or marketing purposes. If required for regulatory or disease surveillance purposes, we will share your information with the Department for Environment, Food and Rural Affairs (Defra) or its equivalents in the Devolved Administrations or their appointed agents.

Third country transfers:

All BVDFree’s own systems and storage, and those of its third party suppliers, are within the European Economic Area (EEA) and as part of your membership with the national BVD eradication scheme your data will not be transferred to any third country.

How long we will keep your data:

We will retain your personal information until such time as you withdraw your consent by de-registering from BVDFree. We will then delete your name, address and contact information from the BVDFree database, but any previously submitted BVD test results will remain on the BVDFree England database alongside the CPH number as long as they are required for the proper functioning of the scheme.

Your Rights:

By law you have certain rights over your personal data that we hold – see https://ico.org.uk/for-the-public/personal-information/ for guidance on your rights. You have the right to be informed about how we use your personal information, the right to ask us to correct any errors, the right to ask for a copy of the personal data we hold about you (a Subject Access Request), and the right to withdraw consent (by asking to deregister from BVDFree). To enquire about exercising any of these rights please contact the Data Protection Officer using the details given at the top of this section. We may need to verify your identity before implementing your request.
